Booking terms and conditions

Parties Referred to: These conditions apply to all bookings with Altitude Adventure.

The price of your catered seven day holiday includes:

  • Meals: continental breakfast everyday, afternoon tea & cakes, 3 course evening meals (except Wednesdays), self service drinks facilities available all day.
  • Access to chalet facilities including lounge with TV/DVD and music system,
  • games room, book collection, ski/snowboard/bike store, utility area with washing machine.
  • Bed linen, bath and hand towels (one set per week)
  • Daily transfers to each days ski/bike destination.
  • Transfers from and return to Perpignan airport.

Please note that these are our standard arrangements for a seven day holiday. For long weekend bookings we do not include airport transfers unless the group booking is for a minimum of 8 people.

If you have any special requests we will our best to accommodate your needs – please ask.

Deposits: We require a minimum deposit of 10% of the total holiday cost, payable within 7 days of booking acceptance. Failure to do so will mean that we may offer the reservation to other enquiries. Upon receipt of your deposit we will provide a confirmation invoice showing the balance payable.

Final Payments: Final payments must be settled no later than 8 weeks prior to travel date. If payment has not been received by the due date we reserve the right to cancel your booking. Full payment must accompany booking made within 8 weeks of travel dates.

For your protection, any payments will be held in a secure account and remain untouched until the conclusion of your holiday.

Your Contract: A contract will exist between us when the confirmation invoice is dispatched to you. All correspondence will be through the person named as Group Leader who takes full responsibility for any cancellations, amendments and changes on the group’s behalf and accepts the following conditions on behalf of all participants. English law governs the contract between us. The courts of England and Wales will deal with the unlikely event of a dispute between us.

Insurance: The Company requires that all clients are adequately covered by holiday and travel insurance. This insurance policy should include full accidental medical cover for the activities that you will be participating in and repatriation to your country of residence.

Changes made by you: If after you have confirmed your holiday booking, you wish to make any alterations, please contact Altitude Adventure in the first instance and confirm in writing immediately after for all requests. While we will attempt to assist, we cannot guarantee that we will be able to meet the requests. For changes requested less than 8 weeks before departure we reserve the right to cancel your holiday and charge the appropriate fee as detailed below. If you cannot travel, your place can be transferred to another customer (introduced by you) providing you confirm all relevant details in writing no less than 1 week before departure.

Cancellation by you: Cancellations by a customer are to be confirmed in writing to Altitude Adventure. When a customer cancels the deposit is forfeited. Your deposit and any other fees may be recovered from your insurance company subject to the conditions of the policy. On cancellation by a customer within 8 weeks of departure, cancellation charges will be made as follows:

  • 8 weeks prior to travel, 30% of the total due.
  • 2-4 weeks prior to travel, 45% of the total due.
  • Less than 2 weeks to travel, 100% of the total due.

The date of cancellation is calculated on the day of receipt of written confirmation of cancellation.

Changes by us: Altitude Adventure will do its utmost to provide all of the confirmed arrangements, but reserves the right to alter or cancel any activities or other arrangements if operational, weather or other considerations so dictate.

If we have to make major changes to your holiday we will offer a suitable alternative if possible, or 100% refund on all payments made, if we are unable to offer a comparable alternative. No compensation will be offered for changes made more than 8 weeks before departure. Compensation will be paid as below if we have to make a major change to your holiday within 8 weeks of departure, unless the change is due to circumstances beyond our reasonable control (including, but not limited to: war, riot, civil commotion, act of God, industrial dispute, Government action, epidemic, disease, adverse weather or natural disaster).

  • 8-4 weeks, 10% of holiday price
  • 4-2 weeks, 15% of holiday price
  • 2 weeks or less, 25% of holiday price

Responsibility: Altitude Adventure accepts responsibility for those elements of your holiday that are under our direct control, and for the acts and/or omissions of our employees.

We do not accept responsibility for any personal illness, injury or death which results from the negligent (as the word is understood in the English Law) acts or omissions of any servant or agent, or any supplier, working on our behalf in the provision of services or facilities to you and whilst acting within the scope of their employment.

We cannot be held responsible for the loss of enjoyment or additional expenses due to travel arrangements or any other services not provided or organised by Altitude Adventure.

We cannot be held responsible for the loss of enjoyment or additional expenses due to delays or changes in any travel arrangements or other services which are caused by circumstances amounting to force majeure (such as, but not limited to; war, riot, civil commotion, act of God, Government action, epidemic, disease, natural disaster, industrial dispute or adverse weather conditions). We can only be liable for the provision of special requests where we have confirmed their availability in writing.

Should you or any member of your party have the misfortune to suffer illness, injury or death during the period of your holiday, arising from an activity which is not part of the arrangements made by us, we shall, where appropriate and subject to our reasonable discretion, give you and your family every help that we can by way of initial assistance.

We shall not be liable for any loss of profits, damage to goodwill or any type of special, indirect or consequential loss even if such loss was reasonably foreseeable or we have been advised of the possibility of you incurring the same.

Your responsibility: It is the responsibility of the person making the booking to fully advise Altitude Adventure of any disabilities, social or behavioural problems that a member of the party currently has, or has experienced, which might affect them or other guests during the holiday. We will be pleased to advise you whether we have the staff and facilities to provide an appropriate holiday in these circumstances, with particular reference to such considerations as access, successful participation and health and safety.

The person making the booking also accepts responsibility for advising Altitude Adventure of dietary requirements, cycling and swimming ability of all members of the party. The person making the booking also accepts responsibility for communicating all Altitude Adventure information and advice to members of the party.

Behaviour: We reserve the right to exclude any person after holiday commencement if his/her behaviour is incompatible with the general enjoyment and well being of others. The person making the booking accepts responsibility for any repatriation costs incurred together with any additional costs incurred at the chalet.

Passports, Visa and Health Requirements: You are entirely responsible for having the correct passport and visa requirements. At the time of writing no inoculations or vaccinations were needed to enter France, Spain or Andorra.

Personal property: Your personal property, including baggage, is your own responsibility at all times, unless any loss or damage is due to our negligence or failure to carry out our responsibility.

Transport and Transfers: All transport to and from activities, including airport transfers, is supplied as a complimentary service. We cannot accept responsibility for injury or damage whilst travelling in the supplied vehicle, or accept responsibility for any delays due to breakdown. All attempts will be made to supply alternative transport.

Personal Information: The personal information requested at the time of booking and on subsequent proformas is held on computer and required to allow our employees, agents, sub-contractors and suppliers to provide the promised holiday to our normal high standards. By providing us with the information required for booking you are deemed to accept the above and to have gained consent from all members of your party to disclose their details to us. At the time of booking or requesting holiday information you will be asked if you wish to receive future mailings from Altitude Adventure. We will not pass your information on to any other party. If you do not wish to receive these mailings, please advise us at the time. If you wish to confirm or change your status, please contact Altitude Adventure.

Any complaints: If there is any problem with the holiday, we want to hear about this as soon as possible. Any concerns should be brought to the attention of the company immediately and we will do our utmost to put things right for you. Please note that we are not responsible for any issue that you were aware of, but did not bring to our attention, during your holiday. Any reported issue that has not been resolved to your satisfaction during your holiday should be advised in writing to Altitude Adventure within 28 days of the end of your holiday.
